Assistant
The resource is accountable for supporting specific departments, providing administration and operational support for the strategic teams. This is an indispensable role that requires excellent understanding of the business needs, and of the tools and resources available.
The Assistant will be part of the Assistants Pool, which report to the HR Florence Site Director, and will support different Departments organization by managing budgets, planning events, managing calendars, working with cross functional admins, managing vendor invoices, expenses for select resources and providing logistical support.The Assistant will be considered a go-to reference for interactions with key stakeholders, such as Finance, Legal, Procurement and others. The role will therefore require deep understanding and appreciation of the relevant internal procedures.
MAIN ACTIVITIES AND RESPONSIBILITIES- Perform clerical duties including, but not limited to, mailing and filing correspondence, placing orders, and answering calls.
- Interact with colleagues and internal stakeholders based in Florence or in the affiliates, clients, visitors, and vendors.
- Arrange meetings by reserving rooms and managing refreshments.
- Commissioning projects approved by the project team with external consultants, paying invoices, supporting vendor and client engagement processes, organizing venues/events for internal workshops, team activities and engagements within cross-functional teams.
- Overall responsibility for expense management for selected team members.
- Supporting operations with department budgets, including tracking of expenditure vs. budgets.
- Managing traditional paper and/or electronic filing systems, bookkeeping.
- Co-coordinating department activities and meetings, support over team trainings.
- Ordering regular office supplies .
- Develop and carry out an efficient documentation and filing system.
- Master Degree
- Previous experience in team admin management is preferred
- Fluent spoken and written English
- Strong organizational skills
- Good communications, problem solving, team working skills and high learning agility
- Ability to work in a matrix type environment.
- Highly motivated

Contract type: fixed term 12 months.
